Kingse Safaris is an owner-operated safari company based in Australia, providing tailor-made travel experiences across Tanzania, Kenya, Rwanda, Uganda, and Zanzibar. This policy explains how we collect, use, store, and protect your personal information when you enquire about, book, or travel on a Kingse Safaris trip.
When we say "we", "us", or "our", we mean Kingse Safaris. When we say "you" or "your", we mean anyone who interacts with our services — whether you enquire, book, or travel with us.
We collect only the information necessary to plan, book, and operate your safari. This may include:
Contact details: your name, email address, phone number, and country of residence — provided when you enquire via our website, social media, email, or advertising platforms (such as Meta or TikTok lead forms).
Travel details: passport names, dates of birth, nationality, passport numbers and expiry dates, dietary requirements, medical conditions relevant to travel (e.g. mobility limitations), and travel preferences — provided during the booking and trip-planning process.
Payment information: we receive confirmation of payments made by bank transfer or credit card. We do not store full credit card numbers. Payment processing is handled by third-party providers.
Communication records: emails, messages, and call notes between you and our team, which form part of your booking file.
Marketing data: if you arrive via an advertising platform (Meta, TikTok, Google), we may receive basic information you provided in the lead form, such as name, email, phone number, and travel interest.
We use your personal information for the following purposes:
Trip planning and booking: to design your itinerary, confirm accommodations, arrange flights, purchase permits, and manage your booking from enquiry to completion.
Communication: to respond to your enquiry, send proposals, confirmations, run sheets, and pre-departure information.
Supplier coordination: to share necessary details (names, passport info, dietary needs) with lodges, camps, airlines, ground operators, and permit authorities who deliver your travel services.
Legal and financial: to process payments, issue invoices, and maintain records as required by law.
Marketing: with your consent, to send you follow-up communications about future travel opportunities. You can opt out at any time by replying to any email or contacting us directly.
We share your information only where necessary to deliver your trip. This includes:
Accommodation providers — lodges, camps, and hotels in East Africa who need guest names, nationalities, and dietary requirements for registration and service.
Transport providers — domestic airlines and ground transport operators who need passenger names and passport details for flight manifests and park entry.
Park and permit authorities — national park authorities (e.g. TANAPA, UWA, RDB) who require passport details for park entry permits, gorilla trekking permits, and similar.
Technology platforms — we use HubSpot (CRM), Airtable (operations), Google Workspace (email and files), and Make.com (workflow automation) to manage bookings. These platforms store data on secure servers and have their own privacy policies.
We do not sell, rent, or trade your personal information to any third party for marketing purposes.
Your data is stored in cloud-based systems (HubSpot, Google Workspace, Airtable) protected by encryption, access controls, and industry-standard security measures. Only authorised members of the Kingse Safaris team have access to your booking information.
We retain your personal information for the duration of your booking and for a reasonable period afterward (up to seven years) for accounting, legal compliance, and in case of any post-trip queries or claims. After this period, your data is securely deleted or anonymised.
Supplier-shared data (such as lodge registrations and flight manifests) is subject to the data retention policies of those suppliers, which are outside our control.
Because we operate across Australia and East Africa, your personal information may be transferred to and processed in countries outside your country of residence — including Tanzania, Kenya, Rwanda, Uganda, and the United States (where our cloud service providers are based).
By booking with us, you consent to these transfers. We take reasonable steps to ensure your data is handled securely regardless of where it is processed.
