1. About Us

Kingse Safaris is an owner-operated safari company specialising in tailor-made travel experiences across Tanzania, Kenya, Rwanda, Uganda, and Zanzibar. All bookings are made directly with Kingse Safaris ("we", "us", "our") and are subject to these terms.

By confirming a booking with us, you ("the client", "you", "your") agree to these terms and conditions in full.

2. Booking & Confirmation

A booking is confirmed once we receive your signed booking form (or written email confirmation) and the required deposit payment. Until both are received, we cannot guarantee availability of accommodations, permits, or internal flights.

It is your responsibility to ensure all traveller names are provided exactly as they appear on passports. Name corrections after lodges have been booked may incur amendment fees from the supplier.

3. Pricing & Currency

All prices are quoted in US Dollars (USD) unless otherwise stated. Prices are based on rates, park fees, and third-party costs available at the time of quoting. We reserve the right to adjust pricing if government-imposed park fees, taxes, or levies change between the date of quotation and the date of travel.

Any price adjustment will be communicated to you in writing before your balance payment is due. If the increase exceeds 8% of the total trip cost, you may cancel without penalty.

4. Payment Schedule

Deposit: 50% of the total trip cost, due at time of booking confirmation.

Final balance: Due no later than 60 days before the trip start date.

Late bookings (within 60 days of travel): Full payment is required at time of booking.

Payments can be made by bank transfer (wire) or credit card. Credit card payments may incur a processing surcharge of up to 2.5%. Payment details will be provided on your invoice.

If the final balance is not received by the due date, we reserve the right to treat the booking as cancelled and apply the cancellation fees outlined below.

5. Cancellation by the Client

Cancellations must be made in writing (email to bookings@kingsesafaris.com). The following fees apply from the date we receive your written cancellation notice:

The following items are non-refundable once confirmed, regardless of notice period: gorilla and chimpanzee trekking permits, all internal and domestic flights, and accommodation deposits paid to lodges and camps. Safari accommodation is typically committed and non-refundable once your booking is confirmed with the property. Where supplier cancellation penalties exceed the standard fees above, the higher amount applies. You will be advised of any non-refundable commitments before we confirm your booking.

6. Changes & Amendments

We will do our best to accommodate changes to your itinerary after booking. However, amendments may incur additional charges from lodges, airlines, or permit authorities. Any date changes within 60 days of departure are treated as a cancellation and rebooking.

We reserve the right to make minor operational changes to your itinerary (such as adjusting the order of activities or substituting an accommodation of equal or higher standard) where necessary due to availability, weather, road conditions, or safety considerations. We will always notify you of any changes as soon as possible.

7. Cancellation or Changes by Kingse Safaris

In the unlikely event that we need to cancel your trip due to circumstances within our control, you will receive a full refund of all payments made, or we will offer an alternative trip of comparable value. We are not liable for additional costs such as international flights, travel insurance, or visa fees.

If external factors beyond our control (force majeure) make it impossible or unsafe to operate the trip — including but not limited to natural disasters, epidemics, government restrictions, political instability, or airline failures — we will work with you to reschedule or issue credit toward a future trip. Refunds in force majeure situations will depend on what we are able to recover from our suppliers.

8. Travel Insurance

Comprehensive travel insurance is strongly recommended and should be considered a condition of booking. Your policy must cover the full duration of your trip and include, at minimum, medical expenses, emergency evacuation (including air ambulance), trip cancellation, and loss of luggage.

Safari destinations in East Africa are often remote, and medical facilities may be hours away. Emergency evacuation by light aircraft is the standard response to serious medical situations in the bush. Without adequate insurance, you would be personally liable for these costs, which can exceed $30,000 USD.

Kingse Safaris is not liable for any costs arising from illness, injury, loss, or cancellation that would have been covered by adequate travel insurance.

9. Passports, Visas & Health

It is your responsibility to ensure all travel documents are valid and appropriate for your trip. Passports must be valid for at least six months beyond your return date and have at least two blank pages. Visa requirements vary by nationality and destination — we will provide guidance, but it remains your responsibility to obtain the correct visas before travel.

You are responsible for meeting all health requirements for your destination, including vaccinations. A yellow fever certificate may be required for entry to certain countries or when transiting through endemic regions. Consult your GP or a travel health clinic at least six weeks before departure.

10. Liability & Risk

Safari travel involves inherent risks including, but not limited to, close proximity to wildlife, unpaved roads, light aircraft flights, waterborne activities, and remote locations with limited medical infrastructure. By booking with us, you acknowledge and accept these risks.

Kingse Safaris acts as an agent between you and the lodges, camps, airlines, and ground operators who directly provide your travel services. While we select our partners with care and hold them to high standards, we are not liable for any injury, loss, damage, delay, or irregularity arising from the acts or omissions of these third-party providers.

Our total liability for any claim arising out of or in connection with your booking shall not exceed the total amount you paid to Kingse Safaris for the trip in question.

11. Behaviour & Conduct

We reserve the right to terminate your trip without refund if your behaviour is disruptive, dangerous, or causes distress to other travellers, staff, or wildlife. All instructions from guides, lodge staff, and park rangers must be followed. Approaching wildlife on foot without guide permission, feeding animals, or littering in national parks is strictly prohibited.

12. Photography & Marketing

We may request to use non-identifying photographs from your trip for marketing purposes (website, social media, proposals). We will always ask for your written consent before using any images that identify you. You may decline without affecting your booking in any way.

13. Complaints

If you have a concern during your trip, please raise it immediately with your guide or lodge manager so it can be addressed on the ground. If the matter is not resolved, contact us directly at bookings@kingsesafaris.com. Post-trip complaints must be submitted in writing within 30 days of your return date.

14. Governing Law

These terms and conditions are governed by the laws of Australia. Any disputes arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of Queensland, Australia.
