Booking Confirmation
Once a client requests a quote via our website, we will promptly send a detailed itinerary to their email. This
itinerary will provide insights into the various destinations, activities, and accommodations involved in their
safari, allowing for a full understanding of the experience. It is essential for the client to confirm their
acceptance of this itinerary or suggest any desired modifications.
The safari services agreed upon will be provided as outlined, except in cases of unforeseen circumstances such
as road closures, adverse weather, or security issues. In such situations, modifications or cancellation of the
itinerary may occur.
Payment
Upon acceptance of the proposal, clients will receive an invoice containing all necessary details. A deposit of 50%
of the itinerary cost is required within 10 days of receiving the invoice. If the booking is made within 61 days of
departure, full payment is required at the time of booking. Delays in payment may result in the inability
to guarantee the reservation. Clients can make payments through bank transfers, debit or credit cards, or
direct card payments. For international airline tickets booked through us, full payment must be made by a
specified deadline.
In either case, total payment is due no later than 61 days prior to the departure date. Failure to complete
payment by this deadline grants us the right to cancel the booking and apply the applicable cancellation fees
(refer to section 5.3.1). The travel agreement will automatically be nullified, and clients will be notified
accordingly. In such instances, we assume no liability, and cancellation incurs no penalties on our part. The lead
booker is responsible for ensuring full payment is made on behalf of all participants
Cancellation by the Client
All cancellation requests must be made in writing and sent via email to bookings@kingsesafaris.com.
Should you decide to cancel your booking, either fully or partially, Kingse Safaris will apply cancellation charges
as detailed below. Cancellation fees will not apply if the traveller decides to terminate the contract due to an
unacceptable proposal for a substantial modification of the trip. Additionally, if unavoidable and unforeseen
circumstances arise at the destination that significantly hinder the execution of the trip, cancellation fees will
also be waived at Kingse Safaris’ discretion.
0-61 days before departure: 100% of the total itinerary cost minus admin fees (5%) and nonrefundable
deposits as accommodation providers differ on their policies, please note we will try our best to secure the
most refund possible.
61-30 days we aim to refund 50% of the total balance but were totally reliant on accommodation providers
and their policies. We aim to refund everything possible at the time.
30-0 days with all booking in place, guides and vehicles paid we can’t offer any refunds anymore, please
contact your travel insurance.
Cancellation by Kingse Safaris
Whilst we always endeavour to avoid cancellations, we reserve the right to cancel your holiday for the reasons
and respecting the deadlines specified below.
Reasons:
If you don’t comply with your duty to pay the travel sum.
If we have a legitimate fear that you will not or not fully pay the travel sum, before payment has become
claimable.
When, on a date specified in the agreement, it becomes clear that the minimum number of participants is
insufficient.
Deadlines:
-For trips of more than 6 days: termination will have to be done not later than 20 days before departure.
-For trips of 2-6 days: termination will have to be done not later than 7 days before departure.
-For trips of less than 2 days: termination will have to be done not later than 48 hours before departure.
Deadlines for last-minute trips, that is trips taking place within 61 days of the booking, the full travel price must
be paid within two days of the invoice being sent, regardless of the default 10 days deadline mentioned on the
invoice document. If the traveller fails to pay on time, they will be in legal default and the contract may be
terminated immediately by KS.
failing to comply with local law
We may also be entitled to cancel your holiday during your trip if you fail to comply with local laws, tours,
carriers and accommodations regulations.
We cannot accept liability where the performance or prompt performance of our contractual obligations is
prevented or affected by your failure to adhere to applicable local laws as well as tours, carriers and
accommodations regulations. If you fail to comply with the above or commit any illegal act, or if Kingse
safairs (acting reasonably) believes that the client’s behaviour is causing or is likely to cause danger, distress, or
material annoyance to others, Kingse Safaris may terminate your travel arrangements without liability on
Kingse Safaris part, and you will not be entitled to any refund for unused or missed services or costs incurred
because of the termination.
Moreover, we cannot accept liability where the performance or prompt performance of our contractual
obligations is prevented or affected by, or you suffer any damage or loss because of force majeure (refer to
section 15.1). In circumstances amounting to force majeure, we cannot refund any money to you. Although, if
we can recover any monies from our service providers, we will refund these to you. In any case, you are not
entitled to additional compensation.
We may cancel your confirmed holiday if you fail to comply with any requirement of these booking conditions
entitling us to cancel.
