Booking With Kingse

How Booking a Safari With Kingse Works

Booking a safari is a big decision, and you shouldn't hand over a deposit without knowing what comes next. Here's every step, from your first message to the flight home, with the payment terms in plain English.

The short version: you talk to us first, you see a full itinerary and quote before you pay anything, a 50% deposit confirms your booking, and the balance is due 60 days before you arrive.

From first message to the flight home

  1. You get in touch

Use the contact form, email [email protected], book a call and we'll call you at a time that suits you, or message Samara on WhatsApp at +61 492 037 622. Tell us roughly when you'd like to go, who's coming and what you'd love to see. You'll usually hear back the same day. There's nothing to pay and no obligation.

  2. We talk it through on a call

We'll set up a call to hear what you have in mind: dates, group, pace, budget and what matters most. You're talking to the team that plans and runs your trip, not a call center.

  3. You receive a tailored itinerary and quote

We build your itinerary around that conversation and send it with a clear quote in US dollars, showing your route, where you'll stay and what's included. You're welcome to ask for changes before you confirm. Nothing is booked yet, so availability can shift until you do.

  4. You confirm and pay the deposit

When you're happy, you sign your itinerary confirmation and we send an invoice from Kingse Safaris Pty Ltd for a 50% deposit, payable by bank transfer or card. Once we have your signed confirmation and the deposit, you're booked and we start placing your lodges, flights and permits. A few items, such as gorilla permits, peak-season lodges and internal flights, can need full payment at booking, and your proposal says what's due and when.

  5. You pay the balance

The balance is due no later than 60 days before your arrival date, the same two ways. If you book within 60 days of travel, you pay in full when you confirm, on one invoice.

  6. You get your travel pack and trip app

Before you fly, you receive a travel pack and access to your My Trip app: your day-by-day itinerary, a packing list for your route and season, tipping guidance and who to contact. For visas and vaccinations we point you to the official sources and your travel doctor, starting with the State Department's latest travel advice, because the answers are personal.

  7. You're on safari

Your guide and ground team look after you on the road, and you have 24/7 support from us while you travel. If weather, roads or flight times force a change, we arrange the best alternative and tell you promptly.

  8. You're home

We check in once you're back. If something isn't right during your trip, tell your guide or us straight away so we can fix it on the spot. Formal complaints go in writing to [email protected] within 30 days of your return.

We quote in US dollars unless we agree otherwise. Every invoice offers bank transfer and a card payment link, so you can use whichever suits you. US bank transfers (ACH) go to our US dollar account, and the account details are on your invoice.

If your plans change

We'd rather you know this before you pay. If you cancel, the deposit isn't refundable, and these fees apply from the date we receive your written notice at [email protected].

Cancellation fees by time before travel
CancelingWhat applies
More than 90 days before travelDeposit forfeited, no further charges
60 to 90 days before travel50% of the total trip cost
30 to 59 days before travel75% of the total trip cost
Less than 30 days before travel100% of the total trip cost

Lodges, flights and permits are paid to suppliers on your behalf, and many of those payments can't be recovered, so a refund can be smaller than the schedule suggests. That's why travel insurance with cancellation cover is required for every guest: it's your own policy, and we suggest taking it out when you pay your deposit. The full wording is in our terms and conditions.

Is it safe to pay Kingse Safaris?

It's a fair question to ask of any company. Here's what you can check for yourself.

  • We're an Australian company. You're invoiced by Kingse Safaris Pty Ltd, ABN 37 698 821 886, on the Gold Coast. You can look the ABN up on ABN Lookup, the public business register.
  • Our Tanzanian operation is our own. It holds a Class A Tour Operator license, Tourism License 036650.
  • We're insured. We hold public liability and professional indemnity insurance.
  • You can talk to us first. Email us, book a call or message Samara on WhatsApp before you pay. As with any large payment, check our bank details with us on a call before you transfer.

Questions people ask before they book

A 50% deposit confirms your booking. You pay it once you've seen your itinerary and quote, signed your itinerary confirmation and received our invoice. Some items, like gorilla permits, can need full payment up front.

The balance is due no later than 60 days before your arrival date. If you book within 60 days of travel, you pay in full when you confirm, on one invoice.

By bank transfer or card. Every invoice from Kingse Safaris Pty Ltd carries both options. We quote and invoice US travelers in US dollars, and you pay by US bank transfer (ACH) to our US dollar account or by card.

Yes. Travel insurance is required for every guest and is your own policy. It should cover cancellation, medical costs including emergency evacuation, personal liability and baggage. We suggest taking it out when you pay your deposit.

No. Nothing is due until you've seen your tailored itinerary and quote and chosen to confirm. Until then, arrangements are provisional and subject to availability.

That depends on your route and your own health. Check the official government site for each country and the State Department's latest travel advice, and see a travel doctor or your primary care doctor. On yellow fever, we generally tell people the vaccine is worth having, as one shot lasts a lifetime, but your doctor always has the last say.
